Privacy Policy

1. Introduction
SiteSnap ("SiteSnap," "we," "us," or "our") provides a mobile application and related services that help construction and field teams capture daily jobsite logs, photos, and voice notes, and generate branded PDF reports (the "Service").
This Privacy Policy explains what information we collect, how we use it, how we share it, and the choices you have. By using the Service, you agree to this Policy. If you do not agree, please do not use the Service.
This Policy is intended to help meet common mobile-app requirements under privacy laws such as the GDPR and CCPA/CPRA where they apply, and Apple App Store / Google Play privacy expectations. It is not legal advice.
2. Information we collect
We may collect the following categories of information:
- Account information. Email address, name or display name, authentication identifiers, and profile details you provide when you create or manage an account (via Supabase Auth).
- Company and branding information. Company name, logo, and other branding settings used on reports.
- Project and log content. Projects, daily logs, tags, notes, locations you enter, and related metadata.
- Media you upload. Photos, images, voice notes, and other files you capture or attach, plus derived content such as transcripts and generated PDF reports.
- Subscription and entitlement data. Plan status and related billing entitlements from Apple App Store purchases (processed via Apple and RevenueCat). We do not store your full payment card numbers on SiteSnap servers.
- Device and usage data. App version, device type / OS, crash and performance diagnostics, and product analytics events (for example feature usage) collected through tools such as Sentry and PostHog.
- Communications. Messages you send us for support, and metadata related to reports you email or share via links you create.
3. How we collect information
We collect information in these ways:
- Directly from you when you register, update settings, create projects and logs, upload photos or voice notes, export data, or contact us.
- Automatically when you use the app or website, including device, diagnostics, and usage analytics.
- From third parties that help operate the Service—for example Apple / RevenueCat for subscription status, and authentication providers integrated with our auth stack.
Device permissions (such as camera, microphone, photo library, or notifications) are requested only when needed for features you use. You can revoke permissions in your device settings; some features may then stop working.
4. How we use information
We use personal information to:
- Provide, maintain, and improve the Service, including syncing content and generating reports;
- Transcribe voice notes you submit for transcription;
- Authenticate you and secure accounts;
- Process and enforce subscriptions and feature entitlements;
- Send transactional messages (for example report emails you initiate);
- Provide customer support and respond to requests;
- Monitor reliability, debug errors, and understand product usage;
- Detect, prevent, and address fraud, abuse, or security issues;
- Comply with legal obligations and enforce our Terms.
We do not sell your personal information.
5. Sharing and processors
We share information with service providers that process data on our behalf to run the Service. These may include:
- Infrastructure and database. Supabase (auth, database, and file storage for logs, photos, and related assets).
- Billing. Apple App Store and RevenueCat for subscriptions and entitlements.
- Speech-to-text. Cloud transcription providers used when you request voice-note transcription.
- Analytics and error monitoring. PostHog and Sentry.
- Email and delivery. Providers that send report emails or host share links you create.
We require processors that receive personal data from the Service to protect that data and use it only to provide their services to us, consistent with applicable platform rules (including Apple's requirements for apps that share data with third parties).
We may also disclose information if required by law, to protect rights and safety, or in connection with a merger, acquisition, or asset sale (with notice where appropriate).
When you share a report link or email a report, recipients can access the content you choose to share. You are responsible for choosing what you share and with whom.
6. Retention and deletion
We retain personal information for as long as your account is active, or as needed to provide the Service, comply with law, resolve disputes, and enforce agreements. Inactive accounts or content may be deleted after a reasonable period.
You may request deletion of your account and associated personal data by contacting us at privacy@sitesnap.cc. Where available in the app, you may also use in-app data export or account controls. Some information may be retained where we have a legal obligation or legitimate need (for example billing records, security logs, or backups for a limited time).
You can withdraw consent for optional processing (such as certain analytics or device permissions) by adjusting settings or contacting us. Withdrawal does not affect processing that occurred before withdrawal.
7. Security
We use administrative, technical, and organizational measures designed to protect personal information, including access controls and encrypted transport where appropriate. No method of transmission or storage is completely secure; we cannot guarantee absolute security.
8. International transfers
We may process and store information in countries other than where you live, including where our providers operate. Where required, we use appropriate safeguards for cross-border transfers.
9. Children's privacy
The Service is not directed to children under 16, and we do not knowingly collect personal information from children under 16. If you believe we have collected such information, contact us and we will take steps to delete it.
10. Your rights
Depending on your location, you may have rights to access, correct, delete, or export personal information, object to or restrict certain processing, and withdraw consent. You may also have the right to lodge a complaint with a supervisory authority.
To exercise these rights, email privacy@sitesnap.cc. You can export certain log and photo reference data from the app settings where that feature is available. We may need to verify your request before responding.
If you are in California, you may have additional rights under the CCPA/CPRA, including the right to know categories of personal information collected and to request deletion. We do not sell or "share" personal information for cross-context behavioral advertising as those terms are commonly defined.
11. Changes
We may update this Privacy Policy from time to time. We will post the updated version on this page and revise the "Last updated" date. Material changes may be communicated through the app or by email when appropriate. Continued use of the Service after changes means you accept the updated Policy.
